Making Data Speak: Leveraging the verbs

The purpose of this post is to give a simple guide for a formal report. Just wanted to throw out a quick thought that might be helpful if you’re working on something similar. So, I was working with groups of educators for an accreditation report and most of us were inexperienced. Each group was working on a report for a certain category of collected data. This data are collated from a vast collection scattered across files and authored by other educators over a period of time, and has been maintained by these departments independently. One of the members pointed out that decentralized files would challenge the writing process. Indeed, during the day of report writing, many of us did not know how to begin despite being given a matrix that outlines how to arrange report evidence and their description. After brainstorming with the groups, we successfully drafted a report which was later given to the senior leadership team for final proofreading.
There are three things I find essential in building a formal or professional report like this.
- Voice of verbs
- We were working with a lot of data as evidence for the report and the emphasis of our “action” or how we are working on them or what we plan to do then after analyzing them is very significant. The active voice of verbs will emphasize such and highlights the progress implying what we are trying to achieve. The passive voice may improve the pageantry of the writing, but it may also divert attention from the main point. - sentence patterns
- Simple and compound sentence patterns are readable and quite straightforward. When we used them in the report writing, it showed alignment of data and the action we are taking on them. Compound-complex sentence pattern can work well on data that requires brief narrative and description. Whereas the complex sentences may be passive and so, its length can lose the main point.
- Verb mood
- The the use of the indicative mood in many writing affects the tone of the writing piece. In writing the report, the indicative mood stipulates the actions the institution is taking on the evidence gathered and some steps they have begun based on the findings. It also asserts that something is true or factual, rather than expressing doubt, uncertainty, or speculation.
In summary, paying attention to these items will help you create a clear report and it can also enable readers to respond effectively. I hope this information helps you create a formal writing not only for an academic institution, but also for other professional writing pieces.
